HEX International:
Terms and Conditions

First off, thank you for your application. You are applying to join the HEX community - the next generation of global entrepreneurs and future leaders. Now for the pedantic but important stuff.

General

You are attending the HEX program with the intention to develop yourself professionally and personally. You commit to participate in the full agenda (with the exception of illness or prior arrangement), and commit to the professional behaviour standards expected of early-stage startup founders and student leaders. The information and views presented in the Program are not necessarily those of HEX, and you should exercise your own judgment in relying on and applying this information.

HEX reserves the right to refuse any applicant admission to any program if they are not well suited for the program. Important program information will be sent to the email address provided on the application. Photographs, video, and/or statements that are gathered while on the program may be used in promoting HEX, for example on our website, social media and in PR. These photos and videos are available for you to download, email, or print for personal use. If you’d rather we didn’t use your images in marketing or PR, please advise HEX in writing prior to

departure.

It is essential that you notify HEX if you have any form of physical, learning, mental health or other disability or impairment that may require support services in the host location. While we always aim to give you a great experience, HEX does not guarantee support services in the host location, as it may constitute a matter beyond our control. HEX also cannot guarantee that any partners, and accommodations will be able to host the Participant on the program.

Travel Documents

It is your responsibility to make sure that you have a valid passport (a minimum of 6 months is generally required) and all required visas for travel and arrival into the destination country. HEX is not responsible if these requirements are not met and you are told to head back home from immigration. If you aren’t sure what you need, please seek independent advice. You are also responsible and liable for all of the costs incurred and associated with obtaining the correct permissions to enter the destination country.

Insurance

We can’t stress this enough. Comprehensive travel insurance is super important, in fact, it is mandatory and you must show written proof of insurance prior to departure. HEX accepts no responsibility and will not be accountable or liable for any type of loss or expenses in the event that you fail to purchase comprehensive travel insurance or in the event that any such comprehensive travel insurance policy fails to cover you (whether wholly or partially) for such loss or expenses. Whilst HEX may refer to travel services or insurance products, This does not constitute an endorsement by HEX of those products or services nor acceptance of any liability in relation to those products or services.

Academic Credit

While some universities do offer academic credit for HEX programs, HEX cannot guarantee that you will receive academic credit at your home institution. HEX will assist you as much as is reasonable to gain or transfer credit, but credit is solely at the discretion of your home institution, and it is ultimately your responsibility to seek credit. HEX makes no representation, gives no opinion, accepts no responsibility and will not be accountable or liable for how a program may or may not fit into your personal academic program at their home institution.

Fee and Payments

If you are accepted, you must pay a non-refundable deposit of 10% to secure your place, payable within 7 days of HEX sending you your formal acceptance email.

Program inclusions are a package fee and cannot be broken into segments. Final payment for all programs is typically due 60 days prior to the departure date for the program (however, this may be earlier) and will be clearly articulated on the invoice or payment gateway. If you require additional funding to satisfy the payment amount, such as OS-HELP (Australian students) or Financial Aid (US students) it is your responsibility to factor in the required timings to meet HEX payment deadlines, and to seek alternate arrangements if required. Without exception, you must pay program fees in full to HEX to be eligible to take part in any program. You are also responsible for any additional charges, such as extra nights of accommodation, change fees, upgrades or other expenses that you incur which are not explicitly included in the program package.

Program Fee Changes

HEX reserves the right to vary program fees up to the date that you are accepted into the program, in the event of significant changes in exchange rates or price rises made by partners or other suppliers.

Program Changes and Program Cancellations

HEX program agendas are subject to change, based on the health and availability of mentors, business contacts and startup founders, but the core content of the Program will not fundamentally change. HEX reserves the right to cancel any program if there are insufficient registrants or if HEX determines it is in the best interest of your safety and quality of programming to cancel the program. HEX is not responsible for other costs you may incur by preparing for a program. Should a program be cancelled by HEX for any reason, you will be offered the option of places in other HEX programs or a full refund on all fees paid.

Withdrawals and Refund Policy

We get it, plans change. But if you do need to cancel for any reason, you must notify HEX in writing as soon as possible. The cancellation will be effective upon receipt and acknowledgement of the written notification by HEX. Here is our timeline of withdrawals and payments.

After acceptance, but prior to deposit deadline (7 days after offer): No penalty

61 Days or more prior to the program departure date: 100% of program costs refunded excluding deposit amount

Between 31 and 45 days prior to the program departure date: 50% of total program costs refunded excluding deposit amount

30 days or less prior to the program departure date: No refund

HEX always aims to work fairly and within the best interests of participants and partner programs. Therefore, any serious illness or incident that causes you to withdraw must be documented by a registered Doctor and formal written notification sent to HEX for assessment.

In this case, any decision about refunds by HEX is at our discretion and is final. While we hope never to do this, we do reserve the right to cancel your participation if relevant deadlines are not met and we reserve the right to retain the program deposit amount as an administrative fee.

Please always contact us as soon as possible if there is any risk of missing a payment deadline.

Release of Liability

HEX, its partners, mentors, and employees give notice that they act solely on behalf of and for the benefit of the participants, on the express agreement that HEX shall not be liable, financially or otherwise, for non-performance or unsatisfactory service; for the injury to persons including death, for loss of or damage to property, for accident or delay, and/or for expenses arising from strikes, weather, quarantine, sickness, government regulation, civil unrest or war, or from any act or omission of HEX partners or employees, and/or airline, mail services, rail, bus company, vehicle rental entity, hotel, restaurant, or other supplier of service. By agreeing to these terms and conditions Participants assume all of these risks and agree to indemnify HEX, its employees, partners, mentors, and employees harmless for any and all liability that may arise in connection with participation in a HEX program.

Variation to Terms and Conditions

HEX reserves the right to vary these terms and conditions. Should this change occur after you have been accepted into a program you will be notified electronically through the email address you applied with.

HEX reserves the right in its sole discretion to accept or decline to accept any applicant or guest into a HEX program after conducting an evaluation.

HEX reserves the right in its sole discretion to remove anyone from an HEX Program, the HEX learning platform, HEX community platform, any part thereof (including virtual spaces, in-person events, and accommodations) at any time, and for any reason, including, but not limited to, lack of payment or other violation of these Terms and Conditions or if we deem it necessary for the comfort, convenience, or safety of others. If we remove you from the HEX learning platform, a HEX Program in progress, the HEX community platform or an event, activity, workspace, or accommodations, you will not be entitled to any refund, payment, compensation or credit for unused or missed services or costs that result from the termination of participation.

HEX disclaims any liability for the content, accuracy, or legality of any external links, websites, or content accessed through the HEX learning platform. You acknowledge and agree that HEX is not responsible for the presence of malicious links, harmful software, or any content that may pose a threat to your devices, data, or security.

You are solely responsible for your use of the HEX learning platform and any links or content accessed through it. It is your responsibility to exercise caution, use reliable security measures, and employ updated antivirus software to mitigate potential risks associated with accessing external content. 

HEX makes no guarantees or representations regarding the safety, reliability, accuracy, or completeness of any external links or content accessed through your use of a HEX Program, the HEX learning platform, or the HEX community platform.

You agree to indemnify and hold HEX, its affiliates, and their respective founders, employees, and agents harmless from any and all claims, damages, losses, liabilities, costs, or expenses arising out of or in connection with your use of the HEX learning platform, HEX Program, or HEX community platform or access to external links. 

Code of Conduct

You are expected to abide by and act in accordance with HEX’s Code of Conduct. By agreeing to these Terms and Conditions, or by using the HEX learning platform and HEX community platform, you are also agreeing to the Code of Conduct, which is outlined below. Failure to comply with these rules may result in your account and/or participation in our Program, HEX community platform, HEX learning platform being suspended or terminated or closed.  

  • You must not use obscene or vulgar language
  • You must not submit or post content that is unlawful or otherwise objectionable. This includes, but is not limited to, content that is abusive, threatening, harassing, defamatory, ageist, homophobic, sexist, or racist. 
  • You must not submit or post content that is intended to promote or incite violence. 
  • The means by which you identify yourself must not violate these Terms and Conditions or any applicable laws. 
  • You must not impersonate other people, particularly employees, and representatives of HEX and/or our affiliates and partners. 
  • You must not use our Program, the HEX learning platform, or the HEX community platform for unauthorised mass-communication such as “spam” or “junk” messages, calls, or emails. 

Discretionary Removal Clause

While adherence to the program's code of conduct is paramount, we recognize that certain behaviours or attitudes may not explicitly violate these rules but still contribute to an uncomfortable or unproductive environment for other participants. Therefore, we reserve the right, at our sole discretion, to remove any participant from the program who, in our judgement, exhibits behaviour that could be deemed as significantly disruptive or potentially harmful to the cohort's dynamics or the overall learning environment, even if such behaviour does not constitute a direct breach of the code of conduct. This includes, but is not limited to, actions that give rise to concerns or 'red flag vibes' about an individual’s compatibility with the program's values and objectives.

To join the Program, you must pay the entire amount in full no later than 15 calendar days before the Program commences.  Program inclusions are a package fee and cannot be broken into segments.

If you require additional funding to satisfy the payment amount, such as OS-HELP (Australian students) or Financial Aid (US students) it is your responsibility to factor in the required timings to meet HEX payment deadlines, and to seek alternate arrangements if required. If you require a payment plan, this must be communicated to HEX as early as possible. Payment plans will be created by HEX at its sole discretion.

HEX High Accelerator:
Terms and Conditions (Parents Version)

Thank you for your interest in HEX High Accelerator (“Program” or "HEX High"). You are applying to enrol your child to the HEX community - the next generation of global entrepreneurs and future leaders. Now for the pedantic but important stuff.

General

Your child is joining the “Program” with the intention to develop themself professionally and personally. As part of this innovative program, your child will be exposed to industry standard digital tools for collaboration and design. Although these tools are normally aimed at adults, they do comply with Australian privacy laws. 

Your child commits to participating in the full agenda (with the exception of illness or prior arrangement), and committing to the professional behaviour standards expected of early-stage startup founders and student leaders. The information and views presented in the Program are not necessarily those of HEX, and your child should exercise their own judgement in relying on and applying this information.

HEX reserves the right in its sole discretion to remove anyone from a HEX Program, the HEX learning platform, HEX community platform, any part thereof (including virtual spaces, in-person events, and accommodations) at any time, and for any reason, including, but not limited to, lack of payment or other violation of these Terms and Conditions or if we deem it necessary for the comfort, convenience, or safety of others. If we remove your child from the HEX learning platform, a HEX Program in progress, the HEX community platform or an event, activity, workspace, or accommodations, you will not be entitled to any refund, payment, compensation or credit for unused or missed services or costs that result from the termination of participation.

Photographs, video, and/or statements that are gathered while on the program may be used in promoting HEX, for example on our website, social media and in PR. All reasonable steps will be taken to blur and/or hide faces and names of your child.  

It is essential that your child notifies HEX if they have any form of physical, learning, mental health or other disability or impairment that may require support services.

Online Environment 

HEX disclaims any liability for the content, accuracy, or legality of any external links, websites, or content accessed through the HEX learning platform. You and your child acknowledge and agree that HEX is not responsible for the presence of malicious links, harmful software, or any content that may pose a threat to your devices, data, or security.

Your child is solely responsible for their use of the HEX learning platform and any links or content accessed through it. While care has been taken to ensure safety, security, and privacy, HEX makes no guarantees or representations regarding the safety, reliability, accuracy, or completeness of any external links or content accessed through the use of a HEX Program, the HEX learning platform, or the HEX community platform.

You agree to indemnify and hold HEX, its affiliates, and their respective founders, employees, and agents harmless from any and all claims, damages, losses, liabilities, costs, or expenses arising out of or in connection with your use of the HEX learning platform, HEX Program, or HEX community platform or access to external links. 

All mentors/adults/HEX team members that are a part of this program are required to hold a valid Working With Children’s Check (WWCC).

Code of Conduct

Course Participation

Your child is expected to join and participate in HEX’s weekly conversations with their peers and the course facilitators to share and exchange ideas.

Course participation is counted as sharing content relevant to the course, asking a question of their fellow classmates to try to solve a difficult problem. Derogatory and sarcastic comments and jokes that marginalise anyone are unacceptable. Offensive language—or language that could be construed as offensive—should be avoided.

Expectations & Certification

Your child is required to complete and submit all assessments. Submission of ALL 6 checkpoints + a pass grade overall constitutes as a successful completion of the course.

Upon completion, HEX will provide individual results in the form of a valid certificate of completion (issued by our credential partner, Accredible) and a transcript issued by the University of Sydney. This may take up to a month or more - we’ll keep you updated.

Missed Assignments / Special Consideration

Please contact us at the earliest if your child experiences short-term, unexpected, serious and unavoidable circumstances, which will affect their performance in the course.

Extensions, and the nature of extension, are at the discretion of HEX and will not be given unless:

  • a reason supported with evidence is provided, or
  • a reason supported by their school is provided

If your child has not been approved for an extension and assessments are submitted after they’re due, your child will be subject to a 10% penalty per day. HEX High Accelerator is a university-level course and this is in accordance with university policies.

Disability and Accessibility Support

If your child has a disability, ongoing medical or mental health condition, you or your child should notify a member of the HEX team or email help@startwithhex.com before starting the course.

Online materials offered via HEX are developed with consideration to web accessibility standards and reasonable accommodations will be made to support students with additional needs.

Fee and Payments

To have your child join the Program, you must pay the entire amount in full no later than 14 calendar days before the Program commences.  Program inclusions are a package fee and cannot be broken into segments.

If you require additional funding to satisfy the payment amount, it is your responsibility to factor in the required timings to meet HEX payment deadlines, and to seek alternate arrangements if required. If you require a payment plan, this must be communicated to HEX as early as possible. Payment plans will be created by HEX at its sole discretion. 

HEX reserves the right to vary program fees up to the date that your child is accepted into the program, in the event of significant changes in exchange rates or price rises made by partners or other suppliers. 

Withdrawals and Refund Policy

If you do need to cancel for any reason, you must notify HEX in writing as soon as possible. The cancellation will be effective upon receipt and acknowledgement of the written notification by HEX. Here is our timeline of withdrawals and payments.

Within 7 calendar days of payment, but before the Program has commenced: 100% of Program costs refunded

After 7 calendar days of payment: No refund

HEX always aims to work fairly and within the best interests of participants and partners. Therefore, any serious illness or incident that causes you to withdraw must be documented by a registered Doctor and formal written notification sent to HEX for assessment. In this case, any decision about refunds by HEX is at our discretion and is final. 

While we hope never to do this, we do reserve the right to cancel your child’s participation if relevant deadlines are not met and we reserve the right to retain the Program amount as an administrative fee.

HEX reserves the right in its sole discretion to remove anyone from a HEX Program, the HEX learning platform, HEX community platform, any part thereof (including virtual spaces, in-person events, and accommodations) at any time, and for any reason, including, but not limited to, lack of payment or other violation of these Terms and Conditions or if we deem it necessary for the comfort, convenience, or safety of others. If we remove your child from the HEX learning platform, a HEX Program in progress, or the HEX community platform, you will not be entitled to any refund, payment, compensation or credit for unused or missed services or costs that result from the termination of participation. If we remove your child before a Program commences, HEX reserves the right to decide the amount of refund, payment, compensations, or credit you are eligible for. 

Program Changes and Program Cancellations

HEX program agendas are subject to change, based on the health and availability of mentors, business contacts and startup founders, but the core content of the Program will not fundamentally change. HEX reserves the right to cancel the Program if there are insufficient registrants or if HEX determines it is in the best interest of your child’s safety and quality of programming to cancel the program. HEX is not responsible for other costs you or your child may incur by preparing for the Program. Should the Program be cancelled by HEX for any reason, your child will be offered the option of places in other HEX Programs of a similar price or a full refund on all fees paid.

Release of Liability

HEX, its partners, mentors, and employees give notice that they act solely on behalf of and for the benefit of the participants, on the express agreement that HEX shall not be liable, financially or otherwise, for non-performance or unsatisfactory service; for the injury to persons including death, for loss of or damage to property, for accident or delay, and/or for expenses arising from strikes, weather, quarantine, sickness, government regulation, civil unrest or war, or from any act or omission of HEX partners or employees, and/or airline, mail services, rail, bus company, vehicle rental entity, hotel, restaurant, or other supplier of service. By agreeing to these terms and conditions, you and your child assume all of these risks and agree to indemnify HEX, its employees, partners, mentors, and employees harmless for any and all liability that may arise in connection with participation in a HEX program.

Student Data and Privacy

HEX respects the privacy of anyone who interacts with us and is committed to protecting and managing personal and health information fairly and lawfully. HEX is committed to responsible collection and management of personal data and private information consistent with the Privacy and Data Protection Act 2014 (Vic), the Health Records Act 2001 (Vic) and our Privacy Policy. All areas of HEX treat personal information and health information in accordance with our Privacy Policy.

Parental Participation, Consent, and Contacting HEX

Since the Program is a university-level program, we request that only your child accesses and makes use of the HEX learning platform, HEX community platform, and any other resources/workshops provided by HEX.

Variation to Terms and Conditions
